Just inform the committee first to confirm that all goodies are available. Then set a date during tt to meet up. I can say that during office hour, if required them to bring ur stuff to the office and meet u guys somewhere or at the office is not that proper. imagine if the staff saw their top level manager or director opening up their car boot and taking out stuff like doing car boot sale...what will they say. Just my two cents, been there done that
